Information We Collect

When you contact us or request services, we may collect your name, email address, phone number, property address, services of interest, and information about your project. Our project records may also include photographs, correspondence, quotes, purchase records, and warranty information.

Payment and financing information may be processed when you choose those services. How that information is handled depends on the payment or financing provider involved.

How We Use Information

We use information to respond to inquiries, discuss projects, arrange appointments and inspections, prepare quotes, coordinate work, process transactions, and support customers and warranties.

Our email, phone, and text communications concern your inquiries, appointments, or projects. We do not currently plan to send promotional email or text campaigns.

Service Providers and Financing

We do not sell customer leads.

We may use service providers to support our website, customer records, payments, and communications. Those providers process information needed to deliver their services.

Our planned customer-management platform is GoHighLevel, and our planned payment processor is Stripe. These services are not yet connected to the website. We will update this policy as the final integrations are established.

If you apply for financing through Foundation Finance, your application is directed to the lender. Any application information temporarily received by Urban is intended to be deleted after transfer. The lender’s privacy notice governs its handling and retention of your application.

Website Analytics and Advertising

We plan to use Google Analytics, Google Ads tracking, Meta Pixel, and call tracking to understand website activity and measure advertising results.

When enabled, advertising technologies may also help us show Urban advertisements to people who previously visited our website. These technologies can involve sharing device identifiers and website activity with their providers. This is separate from selling customer leads.

We do not plan to upload customer email addresses or phone numbers to advertising platforms for audience matching.

The tools, information collected, and available privacy controls will be confirmed before these features are activated.

Text Messages and Calls

With your optional consent, Urban Roofing Co. may send texts about your inquiry, appointments, and project, including automated messages. Consent is not required to request a quote or purchase services. Message frequency varies. Message and data rates may apply. Reply STOP to opt out or HELP for help. We do not sell, rent, or share mobile phone information with third parties or affiliates for marketing or promotional purposes. SMS opt-in data and consent are not shared with third parties for their own use. We may provide the information necessary to deliver our messages to service providers acting on our behalf, solely for that purpose.

When messaging is activated, consent records will identify the phone number, consent choice, date and time, source form, and disclosure version presented. We will retain consent evidence and opt-out records as needed to honor your choices and meet applicable obligations. These records are separate from routine inquiry records.

Call recording and an AI voice agent are being considered for future use. If enabled, we will provide notice and obtain required consent before recording. SMS consent does not authorize call recording. These features are not currently active website services.

Retention and Deletion

We plan to archive inactive inquiries that have not become customer projects after 12 months of inactivity and review them for deletion after 24 months. Archiving limits active use; it does not delete the information.

If call recording is introduced, recordings will be archived after 12 months and reviewed for deletion after 24 months.

Purchase and warranty records follow a separate retention approach because they may be needed to document completed work, provide warranty support, and meet applicable obligations.

When reviewing deletion requests, we distinguish removable contact information from records needed for these continuing purposes.

Access and Security

Access to customer records is initially limited to the business owner. If additional administrative access becomes necessary, it will be limited to authorized personnel who need it for their work.

Security settings and safeguards will be configured as our service platforms are established. No method of electronic storage or transmission can be guaranteed completely secure.

Your Choices and Requests

Contact us to ask about your information, request a correction or deletion, or change how we communicate with you. We may need to verify your identity before acting on a request.

We will consider requests under applicable law and explain when information must be retained. Any additional controls relating to analytics or advertising will be described when those tools are activated.

Other Websites

Our website may link to services operated by other organizations, including financing providers. Their privacy notices govern information you provide directly to them.

Changes to This Policy

We may update this policy as our services, tools, or practices change. The effective date will identify the latest finalized version.
